“In the past all the documents were sent back and forth and exchanged with project participants by post,” explains Van Nistelrooij. “The next phase was distribution via email. This made communication and, in turn, the lead time for projects considerably quicker, but it was tiresome keeping up with which version was the most up to date. Not to mention that sending the files, which were often large, resulted in full mailboxes everywhere and exerted a significant strain on the infrastructure and Internet connections.”
This situation provided Stork SP Aerospace with the opportunity to switch to an online solution based on Application Service Providing (ASP). “We also opted for Projectplace on the initiative of our program manager who had already used this online solution and had very positive experiences with it. Stork SP Aerospace has a subscription to the Projectplace service, whereby we are invoiced based on the number of stork.com users and, if necessary, we can invite partners to use this tool. The application runs on the servers at Projectplace and there we also place the documents which our project partners can edit. This allows us to create a ‘common truth’, which means that the most up-to-date version is always being worked on.”
Van Nistelrooij also points out that the “only real truth” is stored on their own IT system. “Projectplace is a redundant system that we use to share information with our partners. We download the document again when it is finished, thereby ensuring that the data we regard as the truth is moved securely to our internal IT system. This new way of working using Projectplace has made document management simpler and easier to understand, enabling us to exchange information and collaborate more efficiently and quickly with our partners.”
